Board Minutes of May 5, 2001

 

Call to order

Meeting called to order by Bob Holdreith at 10:10am.

Minutes from the last meeting accepted as published.

Treasurers' Report
presented by Kirk Stevens, Association Treasurer:

Kirk indicated that:

  • We have increased our reserve accounts to $40,683
  • All dues are paid to date and all bills have been paid, to date.
  • We have an existing balance in our checking acct. of $3,479.18

The association has some items, however, that will need to be addressed which will affect our budget

  • The entrances to the (4) units in building six.
  • The powerwashing and staining of the decks.
  • The replacement of damaged bushes due to rodents at north end units.

Jay Wendt asked the board how these items would be funded - options appear to be one or more of:

  • Through the funds in the Major maintenance fund (Ford Money Market Acct.)
  • A special assessment.

Phil Masser & Dean Nation said they will get some quotes and we will determine how these things will be funded at the next meeting.

Kirk presented the quote from Northwoods lawn service. Jay motioned to continue with Northwoods and Dean seconded the motion. Vote was unanimous. Dean said he would contact Northwoods.

Kirk mentioned that we should pay Auto-Owners Insurance with electronic withdrawals from our checking account. This would eliminate the need of two signatures and several mailings per bill. Jay motioned, Phil seconded the motion. Vote was unanimous.

Financial report was accepted, Dean motioned and Bob Holdreith seconded the motion. All agreed.

Maintenance Items/Concerns
presented by Phil Masser and Dean Nations:

Phil said that he contacted Randy Bell to start up our sprinkler System. Phil reported that Randy would be out Thursday, May 10th.

Phil said he has been trying to contact the person that sprayed for spiders in 2000 but hasn't talked to her yet. Dean offered a 1999 quote from "Central Pest Control" in West Branch. The quote was for $1,000. Phil mentioned that we had the spraying done for $500 last year and we received positive feedback. Phil motioned that we stay with "The Spray Service".  Jay seconded the motion. Vote was unanimous.

Dean Nation presented a quote From "Gordy's Custom Painting" to powerwash & stain the decks for $4,594.00. Dean said that he has worked with this company in the past. Dean said this company understands our concerns and will deliver a good job. Phil asked if Dean could have Gordy attend our next meeting, Dean agreed to contact him.

Gerry Gossett mentioned that before we stain the decks we should sand the top railings. Jay said that maybe the board could supply the electric sanders and get a group of condo owners to do them all.

Phil Masser offered to talk to a few contractors and discuss the best way to remedy the problem with the entrances to building six, units 26 and 29. Kirk asked: on what grounds is the association responsible for the entrance damage? Phil said because it was caused due to poor workmanship and the lack of maintenance prior to occupancy and in accordance to the by-laws the association retains responsibility.

Jay Wendt motioned to get the job done once and for all, Jerry Gossett seconded the motion, and the vote was unanimous.

Jay Wendt brought to the board's attention that unit 30 & 32 have several damaged bushes due to an unknown animal eating the bark from the branches. Damage was also done to the crab apple trees in the same vicinity. Phil Masser said he would call Zales nursery to assess the damaged landscape 

Annual Memorial Day Clean-Up
presented by Bob Holdreith:

Bob Holdreith motioned that we continue with the annual Memorial Day clean-up. The board will meet on May 26th prior to the clean-up. The board will offer free food and drinks to all who participate. Jerry seconded the motion. The vote was unanimous.

Insurance Information Collection
presented by Jerry Gosset

Gerry Gosset, insurance manager for the Association, motioned that we send a letter to all co-owners requesting the name of each co-owners mortgage company as well as the name and phone number of there condo insurance company and agent. Gerry said these items are mentioned in the by-laws and he feels that it would benefit everyone in case of an emergency. Kirk seconded the motion. Vote was unanimous. A form will be sent out with the next billing for the dues.

Bob Holdreith motioned that we adjourn the meeting, the motion to adjourn the meeting was approved at 11:40 a.m.
